Prime Management Group Inc. (“PMG”, “we”, “our”, or “us”) is committed to protecting the privacy, confidentiality, accuracy, and security of the personal information entrusted to us in the course of delivering executive search, recruitment, human resources consulting, and related professional services.

PMG is committed to complying with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”), and other applicable privacy laws and regulations.

1. Collection of Personal Information

PMG may collect personal information that is reasonably necessary for the purposes of providing professional recruitment and consulting services. This information may include contact information, resumes, employment history, education, professional credentials, reference information, compensation details, interview notes, and other information relevant to recruitment or consulting engagements.

Personal information may be collected directly from individuals, from publicly available professional sources, or from third parties such as references, employers, or client organizations where authorized or permitted by law.

2. Use of Personal Information

Personal information collected by PMG is used solely for legitimate business purposes, including evaluating candidate qualifications, facilitating recruitment and executive search assignments, communicating with clients and candidates, conducting reference checks, maintaining professional relationships, and meeting legal or regulatory obligations.

PMG may also use personal information to improve internal operations, maintain business records, and support future professional opportunities where appropriate and permitted by law.

3. Consent

PMG collects, uses, and discloses personal information with the knowledge and consent of the individual, either expressly or implicitly, depending on the circumstances and the sensitivity of the information.

By submitting personal information to PMG, individuals consent to its collection, use, and disclosure for recruitment, consulting, and related professional purposes.

Individuals may withdraw their consent at any time by providing reasonable notice to our Privacy Officer, subject to legal or contractual requirements and reasonable notice obligations.

4. Disclosure of Information

PMG does not sell personal information.

Personal information may be shared with authorized client organizations for the purposes of recruitment, candidate evaluation, or consulting engagements. Information may also be disclosed where required by law or where necessary to support business operations through trusted third-party service providers who are bound by appropriate confidentiality and security obligations.

Personal information may be processed or stored outside of Canada. In such cases, personal information may be accessible to law enforcement agencies, courts, or regulatory authorities in accordance with the laws of those jurisdictions.

5. Retention of Information

PMG retains personal information only for as long as necessary to fulfill the purposes for which it was collected, to comply with legal, regulatory, or contractual requirements, or to support future professional opportunities where permitted by law.

PMG retains information in accordance with its internal data retention schedule, which is based on applicable statutory limitation periods and business requirements in Ontario.

Information that is no longer required is securely destroyed, deleted, or anonymized using reasonable safeguards.

6. Safeguards

PMG maintains reasonable administrative, physical, and technological safeguards designed to protect personal information against unauthorized access, disclosure, misuse, alteration, loss, or theft.

Access to personal information is restricted to authorized personnel and service providers who require such access in the course of their responsibilities.

While PMG uses industry-standard security measures, no method of transmission over the Internet or electronic storage is completely secure. PMG has implemented a data breach response protocol to address potential privacy or security incidents in accordance with applicable legal requirements.

7. Website and Electronic Communications

PMG’s website and electronic communications may use cookies, analytics tools, and similar technologies to improve user experience, analyze website traffic, and evaluate website performance.

Individuals may adjust their browser settings to decline cookies or notify them when cookies are being used, subject to browser capabilities.

PMG’s website may contain links to third-party websites. PMG is not responsible for the privacy practices or content of external websites.

8. Artificial Intelligence and Automated Decision-Making

Prime Management Group Inc. does not use automated decision-making systems to screen, assess, rank, or select candidates.

Candidate applications and related materials are reviewed by a senior Prime Management Group Inc. Executive Search Consultant as part of our professional recruitment process.

PMG may utilize technology platforms or software tools that incorporate automated features to assist with administrative or organizational functions; however, all recruitment-related decisions are made by qualified human professionals.

9. Access, Correction, and Privacy Inquiries

Individuals may request access to the personal information held by PMG and may request corrections to ensure that the information is accurate, complete, and up to date, subject to legal or contractual limitations.

Requests for access or correction should be submitted in writing to PMG’s Privacy Officer.

If an individual is not satisfied with PMG’s response to a privacy-related inquiry or complaint, they may contact the Office of the Privacy Commissioner of Canada.

10. Changes to this Policy

PMG reserves the right to update or revise this Privacy Policy from time to time to reflect changes in legal requirements, technology, or business practices.

Updated versions of this Privacy Policy will be made available through appropriate channels, including PMG’s website where applicable.
